DATES TO REMEMBER

February 15 - First half payment & signed agreement due
February 29 - Late Fees applied
March 1 – Cancellation notices sent out
March 3 – Change request application opens
July 1 - Apply for “Special Event” Sales Tax Clearance Certificate
July 15 - Final date for all Item & Menu Changes (menu prices due by August 15)
July 15 - Second half payment due
July 15 - Any cancellations made after this date receive a refund equal to one-half of the License Agreement amount minus a $100 processing fee.
July 22 - Late Fees applied to past due second half payments.
August 1 -Final date for Drawing, Giveaway & Special Activity Applications
August 1 - Final date to receive WRITTEN NOTICE of License Agreement cancellation. Any cancellation after this date WILL NOT receive a refund.
August 15 - All Advance Gate Ticket Orders are due.
August 15 - Certificate of Liability Insurance (COI) due for coverage of Fair dates
August 15 - Final date for Menu Prices
August 18 - Credential pickup begins if all required documents are on file in our office.
August 22 - Outside Exhibitors begin display set-up.
August 30 - Fair Office is open 8am - 5pm
August 31 - Fair Office is closed.
September 1 - Inside exhibitors begin display set up. Buildings are open from 8am-5pm.
September 2, 3, 4 - Exhibit buildings open from 8am - 8pm for set-up.
September 5thru 14 - 2025 Kansas State Fair
September 15 thru 19 - Fair Office open 8am - 5pm
September 16 - Inside Exhibitor displays/booths should be completely removed from buildings.
September 18 - Outside Exhibitor displays/booths should be completely removed from Fair grounds.
